Office of
the Rector
The St. Joseph Seminary College Rector is the
Chief Servant-Leader of the whole Seminary community. As such, he is responsible
in overseeing the implementation of administrative policies and animates the general Seminary formation program outlined in
the Five Areas in Seminary Formation in view of its Vision and Mission.
The following are the duties and responsibilities
of the Seminary Rector:
- Ensures the
implementation of the Seminary policies, plans, programs, rules, and regulations approved by the Bishop;
- Makes the
final decision as regards admission, recommendation, and dismissal of seminarians after consultation with the Seminary lay
and Priest-formators;
- Presides
over the regular meeting of the Seminary Priest-formators;
- Presides
over the monthly Rector’s conference and Community General Assembly;
- Appoints
personnel to minor positions in the Seminary or if the case may so require;
- Is responsible
in hiring and terminating Seminary personnel;
- Coordinates
with and strengthens the linkage of the Seminary with the Seminarians’ Parents-Teachers Association (SPTA) and the St.
Joseph Seminary College Alumni Association (SJSCAA);
- Officially
represents the Seminary in academic, religious, civic, and social functions and in any contracts the Seminary engages into;
- Establishes
linkages with government and non-government organizations for the uplift of Seminary formation;
- Supervises
all seminarians belonging to the Diocese of Dumaguete.
- Supervises
the General periodic evaluation for seminarians and Priest-formators;
- Prepares
the Annual Seminary Report and submits it to the Bishop.
Office of
the Academic Dean
The Academic Dean is in charge of all Academic-related
programs and activities in the Seminary. He is primarily responsible for the
formulation and implementation of the Seminary’s academic policies and programs.
He plans, organizes, and updates the academic curriculum of the Seminary consistent with its own Vision and Mission. He monitors its
implementation, makes the Semestral Schedule and Faculty loads.
The following are the duties and responsibilities of the Academic Dean:
- Implements
and supervises the Seminary’s academic programs, policies, and formulates means for the maintenance and upgrading of
the Seminary’s academic standards;
- Establishes
policies pertaining to the curriculum and subject content, teaching methodologies, evaluative techniques, the selection of
textbooks, and other instructional materials, the development and use of learning resources that ensure the orthodoxy and
integrity of the Christian faith and Church teachings;
- Initiates
continuous dialogue with the Deans of Studies of other College Seminaries regarding Academic curriculum and programs to facilitate
continuity and coherence of the Seminary’s intellectual formation program;
- Provides
in-service training for faculty development that teaching methodologies and strategies may be updated;
- Develops
venues and mechanisms for on-going philosophical-pastoral research and linkages with other academic communities and institutions;
- Recommends
to the Rector the appointment, promotion, and termination of academic personnel;
- Prepares
and distributes clearances for seminarians at the end of each Semester;
- Recommends
to the Rector the conferment of academic degrees and awarding of diplomas or certificates on qualified candidates for graduation
and other awards;
- Endorses
requisitions for activities related to academics;
- formulates,
in coordination with the Seminary Procurator, policies and procedures governing financial transactions with students, faculty,
and staff;
- Coordinates
with the Superintendent of Diocesan Schools in matters that pertain to curricular and extra-curricular activities;
- Prepares
an annual report to the Rector on the condition of the past Academic Year;
- Performs
other duties that may be assigned or delegated by the Seminary Rector;
Office of
the Community Life Director
The Community Life Director is responsible in formulating (in consultation with the other Seminary Priest-formators)
and implementing policies and programs which will provide an environment conducive to a healthy, responsible, and Christ-centered
community life. He conducts regular conferences with the seminarians to foster
in them the exercise of Gospel values and the practice of the faith in the midst of community.
He is assisted by the duly elected Vice President of the Seminary Student Council (SSC) in keeping the community’s
peace and order condition.
The following are the duties and responsibilities of the Community Life Director:
- Animates
and accompanies the seminarians in their journey while in formation, so that, the rules and regulations in the light of the
Five Areas may be implemented and achieved;
- Enables the
seminarians to make the gradual transition from a more receptive role of a learner to that of a competent exponent of Christian
faith and conduct;
- Calls the
seminarians for Individual Conference (IC) regularly that he may be able to guide and direct them in view of the external
forum;
- Regularly
sits down with the Seminary Student Council to discuss the condition of the community and plan for corresponding action;
- Enforces
commensurate sanctions to erring seminarians as the case may call or the conditions may so provide with due respect to procedures
and in coordination with the other Priest-formators;
- Reports to
the Seminary Rector about the development and problems of particular or group of seminarians that need attention and action;
- Keeps a record
of individual or class/group outing of seminarians and reports them regularly to the Priest-formators’ meeting;
- Prepares
and submits to the Rector an annual report on the condition of the Community Life of the Seminary for the past School Year.
Office of
the Spiritual Director
The Spiritual Director is responsible for the Seminay’s Spiritual Formation Program. He is in-charge of the spiritual growth and nourishment of the seminarians always keeping in mind that
the spiritual formation should be closely linked with doctrinal and pastoral training…such
formation should help seminarians learn to live in familiar and constant companionship with the Father, through Jesus Christ,
His Son, in the Holy Spirit. Seminarians should learn to live according to the
Gospel and to grow in faith, hope, and charity. By exercising these virtues,
they will develop the spirit of prayer, secure strength and protection for their vocation, promote the vitality of the other
virtues, and grow in the desire to win all to Christ (Optatam Totius no. 8).
The following are the duties and responsibilities of the Spiritual Director:
- Fosters the
spiritual growth and faith life of the seminarians and other members of the St.
Joseph Seminary College
community by implementing the existing spiritual formation program and formulating new ones to reinforce and update spiritual
development;
- Plans and
provides the spiritual and liturgical services appropriate to the needs of the Seminary community like recollection, retreats,
and other spiritual activities;
- Provides
suitable and regular opportunities for spiritual direction and discernment;
- Performs
other functions that may be delegated or assigned by the Seminary Rector;
- Makes inventory
and up-keep of the Seminary Chapel.
Office of
the Pastoral Director
The Pastoral Director is the supervisor and coordinator of the Pastoral Program of the St. Joseph Seminary College. He plans and facilitates the School Year and Summer apostolate assignments of the
seminarians and gets in touch with the Parishes and areas where the Seminary networks with.
In the course of the implementation of the Program, he is assisted by lay companions to monitor its efficiency and
effectiveness both for the seminarians and formation in general.
The following are the duties and responsibilities of the Pastoral Director:
1. Formulates
and implements the policies and guidelines of the Pastoral Program of the Seminary in accordance with its Vision and Mission;
2. Supervises
the preparation and implementation of the Pastoral Program in consultation with the Team of Seminary formators and lay companions;
3. Conducts
regular visitations of the seminarians in their Pastoral areas of assignments;
4. Conducts
periodic evaluation of seminarians in consultation with persons involved in their Pastoral areas;
5. Monitors
and evaluates the Seminary pastoral program and recommends policies and plans to improve it;
6. Renders regular
report to the Rector and to the Team of Seminary formators on the state of the Pastoral Program and other related matters
as needed;
7. Gives grades
to the First Year seminarians according to their performance in their CWTS Program which is incorporated in the Seminary Pastoral
Program;
8. Performs
such duties or assignments if so delegated by the Rector.
Office of
the Pre-Philosophy and Vocation Director
The Pre-Philosophy and Vocation Program Director takes charge in the screening of the applicants for admission to the
Pre-Philosophy Program as scheduled. It is his task to promote and campaign for
vocations to the Priesthood and follows them up by sending them necessary information about important schedules relative to
the Seminary. He puts to schedule the screening tests and interview of the applicants in coordination with the team of Seminary
formators. When the final list of admission is completed, he visits them in their
respective houses and advises them about the requirements. He conducts the orientation
of the new Pre-Philosophy Class about the Seminary: daily schedule, the five Areas in Seminary Formation, the use of the Liturgy
of the Hours, the Community Handbook, serving at Mass, among others. He conducts
regular sessions and makes evaluation at he end of the School Year. Based on
the evaluation results, he recommends, with the Pre-Philosophy faculty, a list of Pre-Philosophy seminarians who are recommended
for First Year Philosophy.
The following are the duties and responsibilities of the Pre-Philosophy and Vocation Director:
- Sends communications
to the parishes and Schools in the Diocese for Vocation campaign;
- Schedules
Vocation search-in seminars and orientations and sets the date for screening tests and interview in coordination with the
Seminary team of formators;
- Receives
the pertinent documents as per requirements for admission from the applicants for the Pre-Philosophy Program;
- Turns over
academic records of Pre-Philosophy seminarians to the Seminary Academic Dean;
- Conducts
regular formation sessions with the Pre-Philosophy seminarians as a class or in individual conferences (IC);
- Coordinates
with the Pre-Philosophy Teachers in the evaluation of the Pre-Philosophy seminarians at the end of each Semester;
- Recommends,
with the Pre-Philosophy Teachers, the Pre-Philosophy awardees;
- Consults
with the Seminary Rector on the admission and dismissal of Pre-Philosophy seminarians;
- Designs and
formulates new programs and activities for the improvement of the Pre-Philosophy Formation.
- Performs
such other duties as assigned or delegated by the Rector.
Office of
the Regency Director
The Regency Director accompanies the regents’ journey within their period of Regency. He facilitates individual programs according to their needs and the recommendation of the Seminary formators
where he comes from. He regularly calls the regents for Individual Conferences
(IC) that he may monitor and know the development of the regents in view of the assigned program.
The following are the duties and responsibilities of the Regency Director:
- Provides
a program for the regents and or asks them to make their own program according to individual needs and in view of the recommendation
of their Seminary of origin;
- Coordinates
with the team of Seminary formators of other seminaries where the regents belong to discuss and clarify matters pertinent
to the issues to be addressed, time or period of the regency, nature of the program, and persons involved;
- Evaluates
the regents in their development within the confined period of regency and sends the same evaluation to the concerned Seminaries;
- Reports and
furnishes a copy to the Bishop on the evaluation and development of the regents in view of the recommendation of the respective
Seminaries at the end of the Regency period.
Office of
the Procurator
The Seminary Procurator takes charge over the financial movements of the Seminary.
He is responsible in the collection of the periodic Seminary fees from the seminarians, receives donations from benefactors
and donors, and the framing of the annual Seminary School Year budget. He supervises
the Seminary Finance Office and controls, in coordination with the Seminary Rector, the daily cash flow of the Seminary. He
monitors the work of the Seminary personnel and oversees the use and care of the Seminary physical plant and facilities. He
regularly presents the monthly financial report to the team of Seminary formators.
The following are the duties and responsibilities of the Seminary Procurator:
- Oversees
the financial movement of the Seminary and strictly controls the cash flow;
- Prepares
the annual budget and sees to it that the Seminary operates within its budget;
- Intensively
monitors the payments of Seminary fees and other obligations of the seminarians;
- Finds ways
and means to raise other resources for the Seminary;
- Supervises
the Finance Office staff and other seminary personnel such that services are rendered effectively and with efficiency by monitoring
their work schedule and facilitating job distribution;
- Coordinates
with, plans, consults, and informs the Parish Priests regarding the schedule and procedure of the Seminary’s Seminary
Sunday Collection Program;
- Takes charge
of the tangible and intangible Seminary properties and makes an annual inventory which is reported to the Seminary Rector
and to the Bishop of the Diocese of Dumaguete;
- Prepares
a monthly financial report relative to the financial condition of the Seminary including in-kind donations;
- Acts as liaison
between the Seminary and other organizations where financial matters are pertinent;
- Performs
other functions if so delegated by the Seminary Rector.
